Time Off Request
The human resources (HR) department is one of the most paper-intensive in your enterprise. HR staff members deal with many forms each day, and a particularly laborious process is managing time off requests. A process was needed to efficiently manage requests for time off, validating available hours against the HR system and streamlining the approval process. Access Evolution facilitates direct access into the HR database, indexed by the ID number of the employee filling out the form. 

As Evolution performs authentication against Active Directory, the security and accuracy of the data is not an issue as it can be when relying on a manual process. The employee fills out the time off request form and submits it to workflow. The form (which was auto populated from Active Directory) is automatically routed to the employee’s supervisor or manager and an alert is sent to the supervisor via e-mail. 

Once the form is opened, the time off request details (such as hours or days requested and reason), and the employee’s accrued time are displayed.  At this point, the supervisor can approve or deny the request, or return it to the employee for further input with an attached note.  If the requested time off is approved, the supervisor electronically signs the form and it is routed forward automatically to the HR department and to the employee. 

The completed form is then sent automatically into the document management system (and auto-indexed into the employee’s record) and/or printed. Finally, the time deduction information is updated in the HR and/or time and attendance system. With Access Evolution, managing time off requests is a seamless, automated process that boosts productivity.

Performance Review
The Access HR solution also encompasses the ongoing need for processing performance reviews, which traditionally involves a tedious and time-consuming sequence of tasks.

Payroll
With an Access solution, bank information, hospital name and other details are placed on each pay check automatically, eliminating manual preparation. Staff members no longer waste time changing check stock based on differing bank information or on managing, securing and ordering this paper.
