Physician Enrollment and Credentialing

Proactively Manage Physicians
Physician enrollment and credentialing is traditionally a very paper-intensive process. There are several federal and state mandated forms that must be completed by each provider every two years, including those for the Medicare and Medicaid programs. These forms need to be physically signed, notarized and submitted. Would this four-inch thick stack of paper sound familiar to your physicians, who have precious little time to focus on completing forms?

A high percentage of the data on credentialing forms is redundant – such as name, practice location, DEA numbers, information about credentials such as medical degrees and more. This contributes to hours of wasted time and lowers physician morale. Multiply the time loss by the number of physicians your hospital deals with and you have a huge productivity drain that distracts doctors away from what they want to focus on – providing patients with quality care and service.

The Access credentialing tool set allows each physician to complete and answer every question from all forms in aggregate, all from the convenience of a single browser-based form. This ‘master’ form contains every question from all required forms. Upon completion of the data, the Access system generates all credentialing forms in PDF format, displayed in the preferred layout.

The physician quickly prints, signs and notarizes the forms, and then submits them. As the Access solution uses the master form to auto populate every credentialing form, the physician only has to fill in each piece of information once, rather than the dull and repetitive method of manually completing each distinct form.

An additional benefit is that all of the data is now housed in a database, so when the process has to be completed again in two years the Access system can pre-populate the forms with the information that was filled in last time. The forms can then be printed on demand. All the physician has to do is validate that nothing has changed, and he or she can sign, notarize the forms and submit them without hassle. This represents huge time savings for the physicians and their staff.

Most hospitals have departments that do nothing but manage physician enrollment and credentialing, and in some cases it can take weeks or even months to complete the paperwork for one physician. With the Access solution in place, this timeframe is dramatically reduced, saving time for physicians and administrative staff alike. As forms data is managed in an electronic database it is more secure than retaining hard copies, and can be audited more easily as required by regulatory bodies or internal parties.
