Registration Specialist

The Registration process demands an excessive number of pre-printed forms which creates a labor intensive environment. The average registration specialist not only has to enter all the patient data and then manually fax documents to the attending physician, but then must remember which pre-printed forms to assemble based on the patient type. Some of the forms hospitals use in their registration packets are the face sheet, consent form, advanced directive, and the MSP Form. Just assembling each registration packet perfectly is improbable, and personalizing each form with an embosser or applying sticky labels only complicates an already time-consuming process. With multi-part forms, such as consent forms and face sheets, the copies must be hand-delivered to various departments in the hospital. Often, still more copies of these forms have to be photocopied for other purposes. If you re tied to preprinted forms, your process will be labor intensive!

The Patient Flow System is a simple, common sense solution. Your registration forms will automatically print out on your laser printer, patient demographic information included, with each form personalized. Host System

The HOST System is where your HIS application resides. The HIS application directly interfaces with the HOST system's operating system which may be UNIX, AS/400, Windows NT or 2000 Server or something else. As a result, Access software works the same regardless of which HIS you use, making it possible for the hospital to change HIS software with no disruption to Access functions. Since Patient Flow Server resides outside of your host system and application, you never lose your forms, routing, or control over your process. The output of the HOST system data is simply directed to the Patient Flow Server instead of directly to a printer.


Patient Flow Server

The Patient Flow Server is the heart of the Access system. It merges raw patient data and pre-designed, custom forms to produce an electronic document that can be distributed to any PostScript printer, PostScript-capable fax server software, MAPI compliant e-mail server or to our Imaging Portal. In the example illustrated above, the registration specialist collects the demographic ruler from the patient and enters the information into you re HIS application to get the correct forms to the appropriate persons automatically without any interruptions. The face sheet, along with all of the appropriate documents that make up the admitting packet, are printed in registration, complete with all embossing information, as well as wristband and labels. Another copy of the face sheet with all of the necessary forms (complete with embossing information) are printed at the nursing station closest to the patient s assigned room. At the same time, medical records also receives the face sheet to their printer. Or, if the hospital has an imaging system, the face sheet can be sent directly to it through our Imaging Portal as a group of several TIFF images, complete with barcodes. Finally,,in this example, the face sheet is securely e-mailed to the physician without any user interruption, which solves another problem common to any hospital with a traditional forms management system.

The entire process took place when the registration specialist hit the enter button in her/his application. As this example shows, Access enables complete forms automation using the Patient Flow Server to manage, distribute, and merge all of your forms.

E-Mail Physician

As part of the admitting process, PFS software can be designed to securely e-mail the attending physician all face sheet information in PDF format. In addition, the system can also be configured to e-mail appropriate information to other departments within the hospital, insurance companies or other designated parties.

Registration Printer

The registration specialist simply inputs patient information in the healthcare facility's current application. All admitting forms will print on a laser printer, including labels, and wristbands with barcodes. All embossing information is automatically printed on forms. The software will print only the forms needed for each category of patient.

Nursing Station

Printing at the nursing station begins when the patient is being registered. PFS software will print the face sheet along with all other nursing forms to start the patient's chart, personalized with embossing information printed on each form. PFS software will also print labels and wristbands at the nurse's station if needed. PFS can also replace many nursing forms.

Medical Records

  • Medical Records printer will automatically print a copy of the patients face sheet when a patient has been admitted. Medical Records will be able to design their forms to suit their own needs.
  • If Medical Records currently uses an imaging system, patient data can be automatically ported via TIFF image into the imaging system when the patient is admitted.
  • Since all forms can include bar coding, accuracy of the scanning of all patient documents is optimized.

Imaging Portal

The Imaging Portal provides the capability to receive documents in Postscript format, convert the documents to TIFF (G3/G4) format and send these documents to a folder. These documents are processed by the imaging software to be OCR'ed and indexed for online retrieval.

Note: This process is dependent upon your imaging software's capabilities.

PRINTER(S)
The only requirement for printers is that they have the Postscript printing language and enough RAM to handle your projects. We highly recommend that you use the printer manufacturer's internal network card for performance reasons. Other printer requirements can only be determined by personnel in the particular departments where the printers will be utilized. Considerations worthy of mention would be multiple input trays, multiple output bins, capabilities of handling desired label stock, special finishing options such as stapling or offsetting, etc.
